The Federal Public Defender, Western District of Texas is accepting applications for the position of Administrative Assistant, National Information Technology Operations and Applications Development (NITOAD), located in San Antonio, Texas. This is a temporary position for one year and a day, with the option to convert to a permanent position with acceptable job performance. The NITOAD branch supports the federal defender program’s staffed offices in 204 locations throughout the continental United States, Alaska, Hawaii, Puerto Rico, the Virgin Islands, and Guam. The federal defender program operates under authority of the Criminal Justice Act, 18 U.S.C. § 3006A, to provide defense services in federal criminal cases and related matters by appointment from the court to individuals unable to afford counsel.

Requirements: 

To qualify for the position of as NITOAD branch administrative assistant, a person must be a high school graduate or equivalent and have at least three years of general experience and two years of specialized experience. Some higher education may be substituted for experience. A bachelor’s degree is preferred. Computer skills, including proficiency with Microsoft Excel and Word; excellent organizational skills; knowledge of management practices; and excellent written and oral communication skills are required. Candidate must be highly self-motivated and detail oriented in a fast-paced team environment. Applicants must be a U.S. citizen or be eligible to work for the federal government. Appointment is subject to a satisfactory background investigation, including, but not limited to an FBI fingerprint and name check.

Duties: 

This position provides administrative, secretarial, clerical support, and budgetary services necessary for the operation of the NITOAD branch. The position will work closely with the administrative staff for the Texas Western Federal Public Defender’s office to ensure adherence to applicable policies and procedures. Additionally, this position will work closely with other NITOAD staff to support national budget and procurement activities.  

Representative Duties: 

  • Coordinate office support services (copier service, building management, maintenance services, etc.).

  • Support recruitment activities including preparing job postings, scheduling interviews, preparing and gathering necessary paperwork and follow-up communications.

  • Assist with employee onboarding and orientation.

  • Prepare time and attendance records, maintain administrative files and support Texas Western HR functions as required.

  • Prepare travel vouchers for payment reimbursement, ensuring accuracy and compliance with government travel regulations.

  • Monitor and maintain inventory of all office equipment, furniture and supplies; coordinate disposal of inventory in compliance with policy.

  • Create and review purchase requisitions and invoice documentation for payments.

  • Prepare shipment and receiving documents for both general office items and large-scale IT equipment.

  • Provide administrative support to NITOAD management and other duties as assigned.

  • Work with Microsoft office products, including Excel utilizing formulas and functions.

Salary and Benefits: 
The starting salary will be commensurate with the experience and qualifications of the applicant within a range of $53,279 (JSP-9, Step 1) to $77,263 (JSP-12, Step 1) per annum. The salary of the successful applicant will be commensurate with the person’s qualifications and experience. The position is in the excepted service and does not carry the tenure rights of the competitive Civil Service. The position does offer federal government employee benefits, including health and life insurance programs, retirement, and the Thrift Savings Plan. Salary is payable only by Electronic Funds Transfer (direct deposit).
